Give a customer access to the portal

The customer portal lets your customer follow their own properties: what is planned, what was done, the photos, the times. Nobody sees it until you let them in, and you let them in per customer: a person gets all of that customer's addresses, never a single address. Customer account access on a customer Give access 1. Open Locations → Customers and click the customer. 2. Go to the Customer account access tab and press Add. 3. Enter the person's Email. - If the address already belongs to a customer account, it is found and you press Continue to share this customer with it. - If not (This email isn't registered yet. Send them an invitation.), add First name and Last name and press Invite. 4. Before you press either button, look at Dashboard visibility at the bottom of the popup: Show dispatches, Show prices, Show upcoming work and Show end time, all on. Switch off what this person should not see; you can change it later from the same tab. See Choose what a customer sees on their dashboard. The invited person receives an email, sets a password, and signs in on the ordinary sign-in form. Their account is a customer account: it lands in the portal, never in your workspace, and it cannot be given a staff role. Until they have set a password the access shows as Pending. The same is available from Locations → Dashboard for Customers, which lists your customers with their accounts and has New customer access too. Several people, several customers - One customer may be shared with as many accounts as you like, the property manager and the caretaker both. - One account may hold access to several customers, and sees them all together under one login: a housing administrator with three associations gets one dashboard with every association's addresses, visits and prices in it, with no switching. When the switches on those accesses differ, the strictest one applies to the whole dashboard. - Granting access that already exists does nothing; removing and granting again restores it. - An account that already belongs to a different contractor's customer cannot be adopted: the person needs an account created through your invitation. Having an email on the customer record, or as a contact on an address, does not grant portal access. Only an explicit grant does. Change what an account sees Each row on the access list has a small settings button that opens Dashboard visibility for that person. The four switches are per access, so the caretaker can see the week's plan while the board member sees the record without prices. What each switch hides is in Choose what a customer sees on their dashboard. Remove access On the customer's access list, press Remove beside the account. This user will lose access to all locations of this customer. The customer, the addresses and the person's login all survive; only the link between that person and that customer is gone. Seeing what they see Dashboard for Customers → Open dashboard opens the portal as that customer, read-only, for up to thirty minutes, with Viewing as in the header and Return to admin to come back. It needs the permission to impersonate customers and is logged: who, which customer, when. What a customer sees in the portal

When you sign in with a customer account you land in the Customer dashboard: your properties, what is planned for them, what has been done, and the proof. Apart from raising and commenting on complaints you cannot change anything here (it is a window onto the contractor's work, not a control panel), and you cannot see anything that is not about your own properties. What the window shows is also up to your contractor, per person: your access carries switches for the dispatches, the prices, the upcoming work and the end times, so a colleague on the same customer may see more or less than you do. If a section named below is missing from your dashboard, that is why; ask your contractor rather than looking for a setting of your own. The customer dashboard The overview - Dispatch overview for the season: how many drives, and the split by work type. - Planned dispatches: what is scheduled, and {0} locations are included in upcoming dispatches. in Alerts, alongside Latest dispatch completed …. - Last dispatch and Monthly trend: the season month by month. - Season: the totals follow your contractor's season range; All shows everything on record. If you hold access to more than one customer with the same contractor, they are all collected in this one dashboard: every address, visit, price and complaint together, and the label under your name says how many customers it covers. There is nothing to switch between. Only if you hold access with two different contractors does the profile menu offer a Switch between those businesses. Your addresses Address overview lists every address of the customer, searchable by name or address, with Active location / Inactive location and, where set, This location will become inactive on: …. Open one for its Details: the map, Keycode, Property ID, Nickname, Description, and the drawn areas; Prices (Work price, Paid per hour, Extra fees); Rules the contractor chose to share (No customer-visible rules. otherwise); Holidays; and Uploaded files. The work Dispatch history is the record. Each dispatch shows its status (Planned, In progress, Completed, Unable, Removed, Cancelled), the Work type, the Timings (Check In and Check Out, when the contractor shares end times for the address), the driver's Dispatch note, and the photos taken at the address, which you can expand. An address without photos says No dispatch images available. A dispatch worked at a recorded Snow depth shows it, in inches or centimetres as your contractor measures, on the history row, on the dispatch's overview, and on the address it was worked at (see Pricing by snow depth). Filter by Date range, and Export CSV for your own records. Work follows the customer it was ordered for: if a property changes hands mid-season, the new customer sees the dispatches from the hand-over onward, and the previous one keeps the history before it. Complaints The one thing you can add in the portal is a complaint. Open the address and its Complaints tab: the list shows each complaint on the address and whether it is open, resolved or archived. Press New complaint to raise one: the Date, Raised by (Optional. Who complained, if it was not you.; whatever you leave blank is filled in from your own profile), a Description and Photos. Your contractor is told at once. Open a complaint to read it and to write in its Comments; your contractor answers there. When the contractor promised you a time, the complaint shows it as Deadline to fix, with a countdown and, once the work is done, whether it was done in time. Resolving is up to your contractor, and when a complaint you raised is resolved you get an e-mail, Your complaint about the address has been resolved, with their note. Email notifications on My Account turns that mail off. What stays with your contractor: who carried out the work, how they judged the complaint, the deadline they gave their own supplier, and any money settled between them. What is not here - Invoices. The portal has no invoice list, download or payment; invoices come from your contractor's accounting system as they always did. - Who did the work. You see your contractor, never their subcontractors, their drivers' names or what anyone was paid. - Other customers. Only the customers you were given access to are collected; nothing of anybody else's. - Anything marked hidden. Files, rules and images the contractor did not share with you do not appear. - Anything your access switches off. When your contractor turned off dispatches, prices, upcoming work or end times for your account, those are not in the pages or in the CSV: an amount reads 0, a visit shows its date only, a planned dispatch is simply not listed. With several customers collected, the strictest of their switches applies to the whole dashboard. Your account Manage account at the bottom of the menu lets you change your name, email, phone, password and language. Log out ends the session. A customer account cannot be given staff rights; if you also work for a contractor, that is a separate login. Send an offer

Offers in the left menu is where a prospect lives before it becomes a customer: an address measured and priced but not yet won. Customers with offers are listed under Active and Archived with their Pending offers; one created through an offer carries a New badge. An address on an offer exists only here until the offer is approved: it is in no list, count or map anywhere else in SnowManager, so it stays out of Locations and its totals, out of the "addresses with no route" count, routes, zones, address groups, subcontractor lists and invites, dispatch, exports, invoicing and the front page's figures. The page is hidden in municipality mode. The offers page Create the offer 1. Press New offer. Under Choose customer pick Existing customer and Select customer, then Choose; or New customer. For a new one, type the Tax ID / CVR and press Find to fill Company name, Address, ZIP code, City and Country from the register (where lookup exists for your country), add Customer number, Email and Phone number, and press Create. Choosing the customer 2. The address form opens: Search for address or enter it by hand, with Nickname, Completion time (minutes), Area (m2) and Keycode. Press Create. 3. The drawing tool opens at once so you can draw the areas to clear; with no drawing tool yet, you are asked to make one first. The minutes are what you typed; the square metres come from the drawings. Open the customer row to see its addresses with Areas, Price and Status. Each address is one of No drawing, Draft, Sent, Approved or Declined. Without a drawing an address shows Create a drawing instead of a price. Location on the customer row adds another address to the same offer. How the price is estimated The price is worked out from the drawings and your Default prices (the button at the top of the page, or Settings → Prices): one table, a row per work type, each with area tiers (From, To, Price per m²). Everything drawn as an area on the address is added up into one total; lines and markers describe the job but do not count. For each work type on the offer (the ones tagged on the drawings, or all your work types if none is tagged) the tier covering the total is picked and its price applies to the whole area. So 1,240 m² of plowing in a "500 to 2,000 m²" tier at 10.20 costs 1,240 × 10.20 per visit, and salting the same yard is its own line at its own tier. If a work type has no tier covering the total, its line shows No matching price tier and a link to Set default prices in settings; the offer total leaves it out. Saving new prices re-estimates every open offer. Click the address to see the lines per work type. Click the address to see the lines per work type, plus two cards: Nearby locations, the two closest addresses you already service with their distance, and Discount, a percentage you can step up or down with the + and − buttons. The discount comes off every line, the row shows a green badge with it, and the quote states it. Every price is per service visit and excludes VAT. Each work type row in Default prices also takes Expected visits per season: say 30 for salting, and the offer shows a season estimate next to the per-visit price (30 × the salting line), both on the row and in the quote. Leave it empty and no season figure is shown. Send Nothing is emailed from SnowManager. Press Download quote (PDF) beside the address to get the Winter service quote: your business, the property with its drawing, one line per work type with the total area, price per m², per-visit amount, expected visits and season amount, the totals per visit and per season, and 30 days of validity. Send it to the customer however you like, then press Mark as sent (enabled once there is a drawing and a price). The estimate at that moment becomes the offer's price and the address reads Sent. If the drawing or the prices change afterwards, open the address and press Update quote, then download the PDF again. Record the answer The customer answers by phone or mail; you record it. - Approve: the address becomes an ordinary address of that customer, ready for routes and dispatch, with each work type on the quote priced per visit at its quoted line. If the customer was created through the offer you are asked first: This action will create a new customer and assign the location to it. When the last of a customer's offers is approved, the customer leaves the Offers page and lives under Customers. - Decline: the address is marked Declined and stays on the page as a record. Reopen puts it back in Draft so it can be changed and sent again. - Archive in the customer row's menu moves the customer to the Archived tab without touching any offer; Restore brings it back. The same menu has Edit customer. - Search finds customers by number, contact name, phone or email, and by any address's name, street, postcode or city. A customer found through an address opens on the addresses that matched; And X more below them shows the rest, and Show only matches folds them away again. View the portal as a customer

When a customer rings about something in their portal, the quickest answer is to look at it yourself. You can open the portal as that customer, read-only, without their password and without touching their account. Open it 1. Go to Locations → Dashboard for Customers. Each row is one customer that somebody has been given portal access to (a customer nobody has access to has no dashboard to open), with Customer and Business and, under the name, the customer number and head-office address. The search filters as you type and matches the customer's name, number and address. Clicking the name opens the customer's details; New customer access is here too, see giving a customer access. The list of customers you can open 2. Press Open dashboard on the row. The app reloads into the Customer dashboard as that customer, with a banner at the top: Viewing as the customer's name, and Return to admin. The portal with the Viewing as banner What you see is the customer's data and nothing more, see what a customer sees. One difference: you see all of it. The Dashboard visibility switches that hide dispatches, prices, upcoming work or end times belong to each customer account, and you are not one of them, so a section a particular person cannot see is still on your screen. To know what that person sees, read their switches on the customer's access tab, see Choose what a customer sees on their dashboard. Come back Press Return to admin and you are back on your own dashboard. The profile menu inside the portal offers the same under Admin with Switch, and lists your other customers, each with Switch: switching closes the current session and opens a new one. This one-at-a-time list is yours as an administrator; a customer contact sees all their customers collected in one dashboard instead. Log out from inside the portal closes the session before signing you out. Thirty minutes A session expires thirty minutes after it starts, whatever you do in it, and your sign-in token is cut to match. After that the portal answers This customer context is no longer available.; Return to admin still works, and a fresh Open dashboard starts a new session. The server closes expired sessions every five minutes on its own. Who may Only a staff user of the business, active and with a confirmed email, whose role holds the permission to impersonate the customer dashboard, and only while the business is on the Pro plan. A support user may in addition only open customers they have been given access to. Anyone else gets You do not have permission to impersonate this customer, or your business plan no longer allows it. It is logged Every session is recorded: who opened it, from which business, which customer, when it started, when it must expire, when it ended and why (returned to admin, switched customer, or expired), together with the IP address and browser it came from. There is no screen for the log in this version; it lives in the database. Choose what a customer sees on their dashboard

Not every person at a customer should see everything. A caretaker needs to know what is planned for the week; a board member wants the record and not the prices; an insurer's contact should see that the work was done, not at what time of night. The portal shows the same pages to everybody, so the difference is made per person: every account you let in carries four switches under Dashboard visibility, and they apply to that person's whole dashboard, every customer they have access to with you. Set them when you grant access On the customer's Customer account access tab, Add opens the invitation or the sharing popup, and both end with the Dashboard visibility block: flip what this person should not see before you press Invite or Continue. The same block sits on New customer access under Dashboard for Customers. How the grant itself works is in Give a customer access to the portal. Change them later 1. Open Locations → Customers, click the customer and go to Customer account access. 2. Each account row has a small settings button. Press it: Dashboard visibility opens, headed with the person's name and e-mail. 3. Flip the switches and press Save. Dashboard visibility updated. confirms it, and the person sees the change the next time their portal loads. Good to know - The switches belong to the person, not to the customer: two people on the same customer can see different things, but one person with access to three customers has one setting for all three. Change it from any of those customers' access rows and it changes everywhere; granting that person a further customer applies the choice you make then to their whole dashboard. - They are enforced by the server, not hidden by the page. A hidden price is not in the data the portal receives, a hidden end time is cut to the date in your business's time zone before it leaves, and the CSV export carries exactly what the screen shows. There is nothing to reveal by looking harder. - They sit on top of what you share per address. Share end time with customer and Hidden from customer on an address still apply; an access with Show end time off sees the date only even on addresses that share their end time. - When you open the portal yourself with Open dashboard, you see everything, because you are not one of the customer's accounts and carry no switches. To check what a particular person sees, read their row rather than the screen; see View the portal as a customer. - Hiding prices from a customer is a different thing from hiding them from yourself on screen; the sidebar toggle for that is in Hide amounts on screen.
